Document management with clear structures

Providing, sharing and finding instructions often takes a long time in companies. Structured document control is an important issue not only in the context of certification but also in daily working life. With NEXUS / CURATOR you facilitate the work of each individual employee, set standards and at the same time save costs. NEXUS / CURATOR supports you in the standard-compliant control and administration of the QM documentation according to DIN EN ISO 9001, TS 16949, KTQ and many other standards.

Independent information portal

The NEXUS / CURATOR is a web-based portal that allows you to search for, find, create or share documents. Each employee has the opportunity to view any relevant information quickly and easily, regardless of time and place. The fully indexed search function with filter options guarantees fast finding of the desired information. Setting up new or uploading existing documents is done in a few steps. You have the choice of working with an integrated WYSIWYG editor or with MS Word.

Approval processes

On the basis of freely definable check and release processes it can be defined which document or document type has to go through which steps until the release of the new revision. This ensures that content is already checked at the time of creation and thus only formally correct information is distributed throughout the organization. When revising and publishing new versions, previous versions are automatically saved in the archive of the NEXUS / CURATOR and provided with specially protected access rights. Optionally, the documents and document history can be transferred to a downstream archive for audit-proof archiving.

Navigation, search and reminder function

In NEXUS / CURATOR, you navigate using a clear tree structure, favorites or graphical navigation pages, e.g. an organization chart, a process landscape or a standard catalog. As an alternative to the tree structure, the integrated search system is available, which finds the desired information and documents at the push of a button. Thanks to full-text indexing and intelligent algorithms, you can also find texts within important documents such as Word, Excel, Power Point or PDF. Finding topics from risk management, audits or advanced training is guaranteed by searching in NEXUS / CURATOR.

The automatic reminder function automatically informs the person in charge about expiring documents, pending tasks or comments on documents. Additionally, all affected employees are automatically informed about new shared documents. With personalized follow-up lists, each employee can be individually reminded of his tasks and thus always keep track. Training completion is monitored via electronic read receipt. All reminders and tasks are sent to the persons responsible by e-mail.

Only one system for all notification types

As part of quality management, health care institutions often implement different software systems for different notifications, each of which is an isolated solution without any connection to the other systems.

The law on patient rights, becomig effective in 2013, stipulates that the G-BA sets minimum standards for risk management and error reporting systems in medical care. Since then, fault reporting systems have had to be accessible to employees in medical practices and clinics in a low-threshold manner and notifications should be voluntary, anonymous and sanction-free in order to generate corresponding improvements.

Reporting system

An important prerequisite for a well-functioning complaint management to increase quality, patient satisfaction and economic success are electronic input and evaluation options.

The reporting system of NEXUS / CURATOR bundles these and other notification types in one interface and thus provides a central database. Users can easily and quickly record notifications on various topics and process and evaluate them in a structured way. You will be provided with ready-made forms for complaints, praise, CIRS, a suggestion for improvement or a special incident, which can be individually extended by use of the NEXUS / CURATOR form designer.

Notification creation

Messages that you receive personally or by telephone, e-mail, letter or fax can be recorded in the reporting system, regardless of whether they are referred to you by relatives, employees or patients. The registration is possible both centrally and decentrally, as well as by the use of a patient feedback form on your website.

New notifications are collected and received in an inbox. This and all other processing steps are subject to the standard authorization concept of the NEXUS / CURATOR. This ensures that only responsible persons have access and the sensitivity of the data is respected.

A simple categorization of the notifications by content, location, nature of the problem, affected organizational unit, relevance or any other criteria is possible both at capture and in further processing. A flexible and individually designed escalation management allows you to assign different priorities and status as well as to inform your deputies or supervisors in case of escalation.

Thanks to the direct integration of MS Word, you are able to design all written communication about patients individually and still print them automatically and structured by use of a mail merge function.

With the central action management, you not only record measures for notifications within seconds, but also assign them to a person responsible (and optionally to a controller), define a target date and possibly a priority, so that action and task lists are automatically filled in the background. Each responsible person and controller has a structured overview of all assigned measures with flexible filter options for clear presentation and evaluation. All employees assigned to a task are automatically informed by e-mail about the tasks to be processed or supervised. In addition, everybody has the possibility to check his tasks in the overview lists.

Another component in the reporting system of NEXUS / CURATOR is a package of various evaluations and statistics that are available to you at the touch of a button in order to evaluate and analyze the database. These can also be exported to MS Excel.

Advantages at a glance
  • one reporting system for different types of notifications (CIRS, complaint, etc.)
  • statistical data analysis
  • freely configurable approval workflows
  • integrated into central action control
  • no restriction of user licenses
  • extensive rights management
  • fully web-based

Identify, evaluate and monitor risks

The complexity of medical care in clinics and practices is steadily increasing. Against this background, measures for error prevention are becoming increasingly important. Introducing risk management in NEXUS / CURATOR can help increase the safety of patients and staff and prevent avoidable errors and complications.

Risk identification

An internationally approved instrument for recording critical events in everyday hospital life is the CIRS (Critical Incident Reporting System). It serves to improve patient safety and is an important tool for identifying risk constellations.

The recording and assessment of risks and measures can be centralized or decentralized. In addition to quantifying the probability of occurrence and the amount of damage, you can explain the risk, categorize it, assign organizational units and store relevant documents.

One option for risk identification and recording, in addition to CIRS notifications, is the risk atlas (or risk catalog). This was developed in collaboration with experienced hospital risk managers and is used to identify risks. The risk atlas is subdivided into risk areas and risk categories and can be individually extended in terms of its structure and contents.

Risk assessment

The risk assessment is carried out by recording the probability of occurrence and the potential level of damage of an individual risk. NEXUS / CURATOR automatically calculates the net risk from this.

Measures can be recorded together with the risk or assigned to it from a pool of measures.

Risk monitoring

Risk monitoring includes the evaluations of risks (e.g. risks according to relevance, gross or net risk) and measures, as well as matrices for the graphic representation of the change in gross to net risk. Further evaluations can be created individually by the customer.

Optionally, the probability of occurrence can be recorded for the risk assessment with FMEA form (Failure Mode and Effect Analysis). Thus, after calculating the RPN (Risk Priority Numbers), a 3D matrix and the ECI (Error Criticality Index) can be calculated and graphically displayed.

With NEXUS / CURATOR, we map the entire risk management process from risk identification to assessment and monitoring.

Risks are made transparent and therefore manageable.

Advantages at a glance:
  • complete illustration of the risk management process
  • pre-made and customizable risk atlas
  • automatic calculation of gross and net risks and risk relevance class
  • statistical data analysis
  • freely configurable approval workflows
  • no restriction of user licenses
  • integrated in the central action control

Transparency through central action management

Modern healthcare facilities are highly complex organizations. Not only the internal processes, but also the many interfaces on the periphery to other locations, medical care centers, authorities, etc. contribute to their complexity.

Measures and tasks arise in numerous places in the organization. New projects, detected risks, CIRS reports, deviations from audits, device briefings or patient complaints are sources of tasks that the organization must manage efficiently and in a controlled manner.

Action management

With the action management and the decentralized task recording and distribution in the NEXUS / CURATOR you get a solution for mapping your complex structures, which supports the continuous improvement process (CIP) in all areas. The rights and roles concept, the multi-level approval workflow or proxy arrangements within the assigned rights provide pragmatic solutions for everyday requirements in the action management.

The action management of NEXUS / CURATOR not only unifies and facilitates the work within the organization, but also clearly structures it and provides the possibility to track it. There is a unique approach to managing all the actions involved: no matter where you want to capture a task or action - do it without having to change the program module!

Upload attachments to tasks as a file attachment or send a task or action by e-mail. In a few steps, complex serial appointments and series samples are defined. You have the option of scheduling appointments daily, weekly, monthly or annually. Choose an exact number of repetitions or a specific finish date. Checks, monitoring and the continuous improvement process are under your control.

In NEXUS / CURATOR, the recorded tasks from audits, notifications (e.g. CIRS or complaint), risks, etc. are combined into a central pool of measures, assigned to the responsible employees and sent by e-mail.

For managers or task owners, a series of overviews facilitates the daily work and execution of tasks or measures. At the same time, many evaluation options are provided, such as:

  • all tasks by priority
  • specified due dates
  • tasks by department, location, subject or source

The action management integrated in NEXUS / CURATOR includes dashboards for a clear presentation to the controllers or administrators. Expired due dates or tasks that require an escalation are presented in separate lists to give you an overview of the overall task situation and its status in the organization at all times.

Advantages at a glance:
  • quick capture of tasks
  • recording of serial appointments and series samples
  • no restriction of user licenses
  • freely configurable approval workflows
  • extensive rights management
  • fully web-based

From document control to accreditation

Providing and releasing SOPs, as well as ensuring easy availability for employees, takes a long time in laboratories. Structured and standard-compliant document control is not only an important topic in the context of accreditation, but also in daily working life the staff benefits from direct access to all relevant information at different workstations or devices.

With the SOP lab in NEXUS / CURATOR, you simplify the documentation in the laboratory and the work of each individual employee and manage to increase cost-effectiveness and save costs. NEXUS / CURATOR supports you with the standard-compliant guidance and administration of QM documentation and certification or accreditation according to DIN EN ISO 15189, DIN EN ISO 17025 or RiliBÄK.

DIN-ISO-compliant document control

In every healthcare company, the secure and traceable documentation of processes plays a major role.

The work steps involved in creating and maintaining QM documentation can be combined into typical groups: the same information is often required at certain workstations and in special situations.
Setting up new or uploading existing documents is done in a few steps. You have the choice to work with an integrated WYSIWYG editor or to use different Microsoft formats.

External documents are quickly and securely integrated into the database and automatically controlled and versioned. Even PDF documents receive standard-compliant control information, so that e.g. guidelines and regulations can be co-managed.

SOP lab is the web-based portal that supports all laboratory staff, whether it's searching, locating, authoring, or sharing documents. Each employee has the ability to quickly and easily view all relevant information regardless of time and place, be it implementation regulations, control mechanisms, analytes or examination material. The fully indexed search function with filter options guarantees fast finding of the desired information.

Using freely definable test and approval processes, SOPs can go through different process steps until the new revision is released. This ensures that content is already checked during the creation process and that only formally correct information is distributed throughout the organization.

Method SOPs and data in the LIS

Often laboratories are faced with the problem that in method SOPs different reference ranges or data are noted than in the laboratory information system (LIS).

NEXUS / CURATOR offers the possibility to cleanly and uniformly maintain the method SOPs in a web-based entry mask. Data from the LIS can be automatically transferred to the SOP lab and method SOPs are automatically generated from this. When new processes are created in the LIS, these are also automatically transferred to the documentation in the SOP Lab and are then versioned from this point in time. Changes to the data in the LIS automatically update and version the existing method SOPs and historicize the previous versions.

Advantages at a glance:
  • automatic generation of method SOPs from the LIS
  • simple data migration from source systems
  • MS Word integration
  • integrated editor
  • automatic versioning and historization
